Final steps - AnNa reporting to INEA
The 14 partners of the AnNa project are preparing a final report to be disseminated to INEA. The procedure is explained hereunder.
THE PROCEDURE FOR SENDING IN A COMPLETE ANNA FINAL REPORT TO INEA :
The Final Report consists of two parts, namely:
Part 1: The Final Financial Statement (FFS), consisting of sections 1 - 3
Part 2: The Final Technical Report (FTR), consisting of sections 4 – 8
As a multi-beneficiary TEN-T Action, the AnNa project is required to submit a Consolidated report. This action is coordinated by the AnNa project coordinator. The submission should be done in two identical paper copies as well as in electronic form.
In order to make the Consolidated report each beneficiary has been requested by the Coordinator to provide a national FFS and national FTR.
Consolidated FFS:
- The national FFS, covering sections 1 – 3, should be signed and stamped on sheet 1 by the respective beneficiary (note this is the same organisation/function/etc. that signed the original proposal in form A2.2)
- For the non-Euro partners the FFS should be submitted in their national currency (UK, SE, BG & RO)
- All of the national FFS’s will be incorporated into one excel file (Consolidated FFS) by the Coordinator (the non-Euro countries will be converted into Euros by the Coordinator using the rate given by the partner).
- The Consolidated FFS will be signed by the Coordinator
- The individual (signed) national FFS’s will be provided to INEA in the Annexes
Consolidated FTR:
- The Coordinator drafts the general text on the progress, achievements etc. of the Action in terms of the delivery of the milestone reports
- The national FTRs (covering sections 4 -7) are submitted by the partners to the project coordinator, containing as a minimum details on achievements, deviations, lessons learnt etc. as well as the 2 requested annexes (meetings and documents). Special care is to be taken for Activities where the partner has deviated from the original planning, budget (more or less) and/or scope – ensuring that there is sufficient justification for deviations and appraisal of impact
- The national FTR can be signed and stamped in section 8 if so required for your own (internal) audit procedures etc.
- The Coordinator will complete the Consolidated FTR with the final (consolidated) financial figures and incorporate all pertinent information from the national FTRs in order to justify/explain any deviations and/or appraisal of impact
- The Consolidated FTR will be sent to all partners where after section 8 should be signed and stamped by each partner.
- The national FTRs will be provided to INEA in the (electronic) Annexes.
Submission:
- The Coordinator will send two complete paper versions of the consolidated FFS and FTR (with signatures) to the Commission
- The Coordinator will create and send an electronic version of all documents (consolidated and “national” FFSs & FTRs, Milestone deliverables, other docs, etc.) to the Commission
